HeadsUp uses a central database to store, send, and retrieve many type of documents. HeadsUp classifies documents into two categories, Reference Documents and Approval Documents.

Reference Documents

Reference documents are static documents that don't require approval, routing, or any workflow operations. They are meant to hold reference information and can be attached to tasks, resources, and other entities.

HeadsUp accepts almost any type of file as a reference document including pictures, drawings, specifications, and other documents that are used as reference material.

After a reference document has been uploaded into HeadsUp, everyone with proper access can view and/or print the document. They may also send the document by email or fax. If the reference document is sent by fax, the it needs to be Microsoft Word®, Microsoft Excel®, or Corel WordPerfect® format.

Approval Documents

Approval documents include ASIs, RFIs, Notices, Dunning Letters, Submittals, Transmittals, Owner Change Orders, Sub Change Orders, Subcontracts, and Purchase Orders.

Approval documents use Microsoft Word® or Corel WordPerfect® merge templates. HeadsUp provides standard merge fields for each document type. New merge fields can be created if necessary.

Approval documents are tracked from initiation through approval. As with reference documents, after uploading, they may be viewed, printed, emailed, or faxed.
